INVOICES & CANCELLATION POLICY
At the same time with the confirmation of the registration, a fee request (proforma) will be sent and we expect the money transfer accordingly to it.
Please check the confirmation you received and if you need any corrections, please contact us and do not transfer the money. Please only pay for services that have been confirmed correctly. We can only refund the amount of services that may have been requested and paid incorrectly until the deadlines given in the cancellation policy.
If your participation is sponsored by a company, but the fee request (proforma) is also sent to you by the system, please, do not transfer the amount. The fee request (proforma) will be sent also to the contact person given in the invoice details, and we will get in touch with the contact person of the company that sponsors you.
Your registration will become final when the amount of the fee request (proforma) is credited to the bank account of the organizer office until the deadline. Thereafter an invoice will be created and sent to the billing name and address provided during the registration.
INVOICING IS DONE IN ACCORDANCE WITH HUNGARIAN LEGISLATION.
The organizer office is entitled to issue electronic invoices and send them by e-mail, which invoices are to be regarded by the receiver as original documents.
The payer of the invoice agrees to handle the electronic invoices in accordance with the local provisions of law applicable to them.
Club Service Ltd. will only issue paper-based invoices if this need is specifically indicated by the customer at the time of registration.
Please note that we are unable to accept your order if you do not complete the invoicing field in full. Please provide the name, address and e-mail address of the customer to be shown on the invoice clearly and precisely.
We are unable to accept your order with an incomplete billing/invoice field. Please provide the exact billing name, address, and e- mail address clearly and precisely.
We can only accept invoice-related complaints within 8 days after the date of receipt of the invoice (via e -mail).
Invoices cannot be modified or cancelled after the deadlines below. You can cancel your accommodation until 10 April 2024, and your registration can be cancelled until 10 May 2024 free of charge.
In case of cancellation after the above date, the fees for the services ordered must be paid in full (due to contracts with penalty clauses), regardless of whether the fees have been paid by then or not.
Not paying the request (proforma) does not mean cancellation.

GENERAL INFORMATION ON HUNGARY
Visa and customs information
Detailed information about travel documents and customs can be found in this booklet published by the National Tax and Customs Administration of Hungary, providing useful information for tourists travelling within the European Union or travelling from a non-EU country (third country) to any Member State of the European Union. For further information about the custom procedures, please consult the homepage of the Hungarian customs authority.
Hungary is part of the Schengen Area of 25 European countries. For non-Schengen EU, USA and Canadian citizens a valid passport is sufficient to enter Hungary. Citizens of other countries should check whether they need a visa to enter Hungary. (For more information please visit the home page of the Ministry for Foreign Affairs of Hungary).

On request, the Organizing Committee will issue invitation letters for visa applications. Please apply in due time for a visa if necessary. Please indicate during the registration if you need a personal invitation to attend the meeting. It is important to note that a visa is only a preliminary permission for entry, which does not authorise its bearer automatically to enter the country.
Electricity
The electricity is 230 V, 50 Hz. Japanese, UK, USA and other visitors: please note that in Hungary there are Continental European German-style CEE7/4 sockets (“Schuko sockets“).
Foreign exchange, banking facilities
The official national Hungarian currency is the Hungarian Forint (HUF). All the major credit cards are accepted in Hungary in places displaying the emblem at the entrance. Though Hungary is a member of the European Union, only a few shops and restaurants accept Euros (EUR) for payment. Currency exchange booths are available in Budapest at the airport terminals, railway stations, travel agencies, banks and various places in the city. The exchange rates applied may vary. Traveller’s cheques and convertible currency may be exchanged at these facilities. Major credit cards are usually accepted in most hotels, restaurants and certain shops in the city. Obtaining cash with the use of bank or credit cards is very easy from ATM cash machines that can be found at almost every bank office, hotel or on the street.
Liability and insurance
The organizers cannot accept liability for any personal accidents, loss of belongings or damage to private property of participants and accompanying persons that may occur during the meeting. Participants are advised to make their own arrangements to obtain health, travel and property insurance before their departure to the event.

INFORMATION ON ENTERING HUNGARY

ABOUT DEBRECEN
The Munkácsy Trilogy
The Munkácsy Trilogy, displayed in the Déri Museum, features three iconic paintings by Hungarian artist Mihály Munkácsy: „Christ before Pilate,” „Christ on the Cross,” and „Ecce Homo.”
„Christ before Pilate” depicts Jesus before Pontius Pilate, capturing dramatic tension and emotional depth. „Christ on the Cross” portrays the crucifixion, highlighting Christ’s sacrifice and its spiritual significance. „Ecce Homo” shows Jesus after his trial, wearing the crown of thorns and purple robe, as Pilate presents him to the crowd.
These masterpieces are celebrated as significant achievements in Hungarian and European art. The Déri Museum, located a 1-minute walk from the Kölcsey Centre, proudly preserves them.

The Great Church and Kossuth Square
The Great Church (Nagytemplom) is an iconic symbol of Debrecen and a masterpiece of neoclassical architecture. As the largest Protestant church in Hungary, it holds significant historical and cultural value. Visitors can explore its beautiful interior, climb the tower for a panoramic view of the city, and learn about its rich history and role in Hungary’s religious life.

Nagyerdő – Big forest
The Big Forest (Nagyerdő) is a beautiful natural reserve and one of Debrecen’s most cherished green spaces. It offers a peaceful retreat with lush greenery, and walking trails. Visitors can enjoy a variety of activities, including picnicking, jogging, or simply relaxing in the calming environment. The forest is also home to the Nagyerdei Stadium, Debrecen Zoo and Amusement Park, making it an ideal destination for families.
The Water Tower (Víztorony), located within the Big Forest, is an iconic structure that combines historical significance with modern amenities. Recently renovated, it features an observation deck that provides stunning panoramic views of the surrounding forest and city. You can also find the University, one of Hungary’s oldest and most prestigious institutions, is located adjacent to the Big Forest. On arrival at Liszt Ferenc International Airport, you can find the bustop for 200 E bus service and travel to „Ferihegy” Railway Station.

BY TAXI BETWEEN THE AIRPORT AND THE CITY OF BUDAPEST
We strongly recommend you to take official airport taxis. FŐTAXI transports passengers between the terminals and Budapest. Taxi drivers speak at least one foreign language. All cars are equipped with a POS terminal, therefore credit cards are also accepted.
